1. Who we are

Atyvia provides customer communication automation that receives enquiries, replies to them and sends follow-ups on behalf of businesses. In this policy, "we", "us" and "Atyvia" refer to Atyvia. If you have any questions about this policy, contact us at contact@atyvia.com.

2. Information we collect

Account information: your name, business name, email address, phone number and password when you create an Atyvia account.

Conversation data: messages, enquiries and related content that flow through the channels you connect to Atyvia.

Usage data: pages visited, features used, device and browser information, and log data used to keep the service secure and reliable.

Booking data: details you provide when booking a discovery call through our scheduling provider.

3. How we use your information

To create and manage your account.

To deliver the service: receiving enquiries, generating replies in your business voice, and sending follow-ups.

To provide support, send service updates and respond to your requests.

To improve reliability, performance and the quality of automated responses.

To meet our legal, accounting and security obligations.

4. Legal bases

Where UK and EU data protection law applies, we process personal data on the basis of performing our contract with you, our legitimate interests in operating and improving the service, your consent where required (for example marketing emails), and compliance with legal obligations.

5. Sharing your information

We share data with service providers who help us run Atyvia, including hosting and database providers, our customer relationship management platform, our scheduling provider and email delivery services. These providers process data on our instructions only.

We do not sell your personal data, and we do not use your conversation data to train models for other businesses.

We may disclose information where required by law or to protect the rights and safety of our users.

6. Data retention

We keep account data for as long as your account is active, and conversation data for as long as needed to provide the service. When you close your account we delete or anonymise your data within 90 days, unless we are required to keep it longer for legal reasons.

7. Security

We use encryption in transit, access controls and least-privilege permissions to protect your data. We also encourage you to use a strong, unique password and to keep your account credentials confidential.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise any of these rights, email contact@atyvia.com. You also have the right to complain to your local data protection authority.

9. International transfers

Some of our providers may process data outside the UK or European Economic Area. Where that happens, we rely on appropriate safeguards such as standard contractual clauses.

10. Cookies

We use essential cookies to keep you signed in and to keep the site secure, and limited analytics cookies to understand how the site is used. You can control cookies through your browser settings.

11. Changes to this policy

We may update this policy from time to time. If we make material changes we will notify you by email or through the product before they take effect.
